Whitehot

How We Work

A plain-language guide to working with Whitehot

For business owners who want to know exactly what they're signing up for.

Whitehot is a Melbourne-based consulting firm built by people who've spent their careers inside world-leading management consultancies and innovative boutique firms alike.

That experience in strategy, brand, technology, and business transformation was earned working alongside some of the world's largest organisations.

Now, our mission is to help small-to-medium businesses and their people take on the corporate giants.

Our process is to co-develop high-impact business strategies with you and dramatically improve your speed-to-market using our advanced AI capability.

The result: rapid execution and real results, without the costs that were once prohibitive for small-to-medium organisations.

It's the kind of strategic support that was once available only to large corporations, now delivered at a pace and cost that makes sense for an ambitious SME.

We work in six stages. You can step off at any point. There is no lock-in, no penalty, and no pressure.

Each stage has a clear output and an agreed cost, and we do a joint review before moving forward.

The more you can share early, the faster we move. We don't need everything on day one, but the items below are what allow us to build real campaigns, working technology, and AI-powered tools instead of generic templates.

Your brand and positioning

  • Your logo files, brand guidelines, and any existing style guides
  • Your website URL and any landing pages currently in use
  • Your tone of voice, or examples of communications you think represent you well

Your products and services

  • Product catalogues, price lists, and service descriptions
  • High-resolution product photos and lifestyle imagery
  • Any explainer videos, demos, or walkthrough content you already have

Your customers

  • Your ideal customer: who they are, what they care about, and how they find you
  • Customer testimonials, reviews, or case studies you're proud of
  • Any customer data you're willing to share (purchase history, demographics, engagement patterns). We'll tell you exactly what's useful and handle it responsibly

Your people

  • Key contacts and their roles: who we'll work with day-to-day and who makes final decisions
  • Staff willing to be featured in social media, video content, or human-interest stories
  • Customers or partners willing to participate in content, interviews, or case studies

Your digital presence

  • Access to your social media accounts (or admin permissions where needed)
  • Access to your Google Analytics, ad accounts, or any marketing dashboards you use
  • Login or admin access to your website CMS, email marketing platform, and CRM, if applicable

Your existing content and knowledge

  • Any internal documents, SOPs, FAQs, training manuals, or product specs, even rough ones
  • Sales scripts, pitch decks, proposal templates, or objection-handling guides
  • Industry regulations, compliance requirements, or certifications relevant to your market

This last category is especially important. These documents become the foundation for AI knowledge banks: custom-trained tools that can draft content, answer customer questions, and support your team using your own language and expertise. The more we have to work with, the smarter and more useful those tools become from day one.

Your approvals

  • A nominated person (or people) with authority to sign off on content, campaign plans, and costings
  • An agreed turnaround time for approvals. We'll propose something realistic, but the faster you can review, the faster we deliver
  • Clear guidance on what needs formal sign-off versus what we can run with. Some clients want to approve every social post, others are happy to set guardrails and let us execute

We've found that the single biggest factor in project speed is how quickly approvals come back. We'll set this up clearly in the first stage so nothing stalls.

You don't need to have all of this ready. Part of our job in the early stages is helping you identify what exists, what's missing, and what matters most. We'll give you a simple checklist tailored to your business after our first conversation.

Three steps. No paperwork until you're ready.

1 - Book a free conversation. Visit whitehot.ai or email us directly. We'll spend time getting to know your business: no pitch, no pressure, no cost.

2 - We send you a proposal. If there's a fit, we'll put together a one-page proposal for the Prototype stage: what we'll build, what it costs, and how long it takes. You review it, ask questions, and decide.

3 - We get started. Once you're happy with the proposal, we sign a simple agreement and begin. You'll see something real within one to two weeks.

That's it. No lengthy contracts upfront. No retainers before we've earned them. Just a clear proposal, a signed agreement, and work that starts promptly.
