Whitehot

Privacy Policy

How Whitehot handles personal information, in plain language.

Last updated: 11 July 2026

1. Who we are

Whitehot is a Melbourne-based consulting firm operating the website at www.whitehot.ai. Throughout this policy, “we”, “us” and “our” refer to Whitehot. “You” refers to any visitor or person who interacts with us.

2. What information we collect

We collect personal information in two ways:

  • Information you give us directly — your name, email, phone number, organisation, and the contents of any message you send us when you contact us by email, phone, or any form on this site.
  • Information collected automatically — basic technical data (IP address, browser type, pages visited, referring URL, timestamps) collected by our hosting provider (Vercel) and by Vercel Web Analytics, a privacy-preserving tool that measures aggregate site usage without cookies and without identifying you individually.

We do not knowingly collect sensitive information (as defined in the Privacy Act 1988) without your explicit consent.

3. How we use your information

We use personal information to:

  • Respond to enquiries and provide services you have requested.
  • Communicate with you about ongoing engagements or proposals.
  • Improve the website, our services, and your experience.
  • Comply with legal obligations.

We do not sell your personal information. We do not use your personal information for direct marketing without your consent.

4. Who we share information with

We share personal information only where necessary to operate the site or deliver our services. Specifically:

  • Hosting and infrastructure — Vercel Inc. (United States), which hosts and serves this website and provides cookieless traffic analytics (Vercel Web Analytics).
  • Email delivery — ZeptoMail, a transactional email service operated by Zoho Corporation on its Australian data centre, which sends the acknowledgement and notification emails generated when you contact us or request a resource through this site.
  • Professional advisors — lawyers, accountants, auditors, where required.
  • Legal authorities — where compelled by law or to protect rights, safety, or property.

We do not use a customer relationship management (CRM) platform, and we do not use advertising networks or sell or share your information for marketing. Some providers, such as our host Vercel, process data outside Australia; others, such as ZeptoMail, process it within Australia. We take reasonable steps to ensure your information is handled in accordance with Australian privacy standards.

5. Cookies and tracking

We do not use advertising or cross-site tracking cookies, and our analytics (Vercel Web Analytics) is cookieless. We use only essential and functional cookies, including cookies set in connection with our contact and enquiry forms and cookies our hosting platform may set to operate and secure the site. The Protocolour tool also stores a small amount of data in your browser’s local storage (not cookies) to remember your session and recent palettes on your device. You can clear or block cookies and local storage in your browser settings.

6. Security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, and disclosure. No system is perfectly secure, however, and we cannot guarantee absolute security.

7. Your rights

Under the Australian Privacy Principles, you have the right to:

  • Request access to the personal information we hold about you.
  • Request correction of any information you believe is inaccurate, incomplete, or out of date.
  • Request deletion of personal information, subject to our legal obligations to retain it.
  • Withdraw consent for any optional processing at any time.
  • Make a complaint about our handling of your information.

To exercise any of these rights, contact us using the details below. We will respond within a reasonable time, normally 30 days.

8. Complaints

If you believe we have breached your privacy or the Australian Privacy Principles, please contact us first using the details below so we can investigate. If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

9. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top will reflect any changes. Continued use of the site after changes are posted means you accept the updated policy.
